Hours of work: Full time (37.5 hours)

We have an exciting opportunity for an experienced, enthusiastic, proactive, and determined Office Manager to join our business and perform a key role within Coventry City Football Club.

Within the role of Office Manager, the successful applicant will be responsible for an exciting variety of tasks supporting the Club, in particular the Chief Operating Officer and Head of HR. The Office Manager will take a holistic view of the business operation, ensuring correct processes and procedures are adopted.

Responsibilities of the Role:

  • Provide day-to-day administrative support to all club sites.
  • Be the point of contact for guests arriving at the Coventry Building Society Arena.
  • Manage the office facilities at both the Club’s Coventry Building Society Arena offices and Training Ground to ensure they are fit for purpose.
  • Line manage the cleaning teams at all club sites.
  • Manage office supplies which includes sourcing the best price for supplies, such as stationary etc and post system etc.
  • Administrating departmental meetings, providing minutes and actions where appropriate.
  • Administration for Club vehicles, ensuring full compliance, management of vehicles and managing the booking process.
  • Administration of the Club insurance scheme including managing the vehicle management system and quarter reporting to broker.
  • Health and Safety administration – including sending and collating risk assessments, managing the refreshers, organising inspections.
  • Training Administration – updating systems with training records, collating and managing training records, organising training sessions, managing any training expiries and refreshers.
  • Preparing and collating information and documents for Club audits.
  • HR administration – including data input and references.
  • Administration and ad hoc support to the Club’s Chief Operating Officer (COO) and Chief Commercial Officer (CCO).

The successful candidate will have.

  • Experience in office management.
  • Exceptional attention to detail, coupled with excellent administrative skills.
  • The ability to effectively multitask and prioritise.
  • Excellent communication and organisational skills.
  • Commercial mindset.
  • Proficient in the Microsoft office package.
  • Flexible and adaptable attitude towards work.
  • Takes initiative and challenges the status quo.
  • Highest levels of personal integrity and ability to maintain trust, sensitivity, and confidentiality.
